What makes a printer a business printer?

The difference is not really the badge on the front. It is what the machine is built to survive.

A printer sold for home use is designed around occasional printing. A business printer is built for a working day: heavier duty cycles, faster output, larger paper capacity so nobody is refilling a tray at eleven in the morning, and consumables that last long enough to be worth the price. It is also built to be serviced, with parts that can be replaced individually rather than the whole machine being written off when one component fails.

That last point matters more than it sounds. The components that fail on a business printer, the fuser unit or the drum, are expensive enough that without a service contract most people write the machine off rather than repair it. Which is why nearly every machine we supply goes out with one.

Which type your business actually needs.

The device, the volume it needs to handle, the brand, and how you pay for it.

Desktop printers. For one person or a small team printing modest volumes. Compact, and the right answer where a device sits alongside a bigger machine rather than replacing it.

Departmental printers. Built for a floor or a team. Higher volumes, bigger paper capacity and faster output, for the places where printing is constant rather than occasional.

Multifunctional printers. Print, copy, scan and often fax in one device. A multifunction printer covers the scanning and document handling alongside the printing, which is where a lot of the daily paperwork actually sits.

A3 devices. Where you produce anything larger than standard paper: plans, presentations, marketing material, orders and reports that need the space.

Plenty of businesses run a combination: a larger central device handling the volume, smaller machines where people need something close to hand. Working out that mix is what we do before recommending anything.

Whatever type you choose, the number that governs the decision is how much you print. Every device has a monthly duty cycle it is designed to handle, and a machine that is worked too hard or too lightly develops problems either way.

For one or two devices we can usually work it out from the counter on your existing machine. For a larger fleet we run a print audit over 7 to 14 days, measuring exactly what gets printed and where.

We are not tied to one manufacturer. Our main brands are Canon, Ricoh, Lexmark, Epson and Develop, and because we hold accounts with nearly everybody, we can source a specific machine where a deal calls for it.

That matters because our recommendation starts with what you print and where, rather than with what we are obliged to sell. The machine follows from your volumes.

We supply new and refurbished. New is what we would usually recommend, though a refurbished machine can make a deal work, particularly for a newer business watching its spend. Refurbished machines are prepared and supported to the same standard as everything else we sell.

You can buy outright or spread the cost. Most businesses lease, because it is tax-efficient and keeps cash in the business rather than tied up in hardware that depreciates. Terms run from 12 months to 10 years through major worldwide regulated funders, and your service contract runs alongside the lease.

If standard finance is difficult, perhaps because you have not been trading long enough to build a credit history, talk to us anyway. We can sometimes arrange finance in-house where a funder cannot help.

Nearly every device we supply goes out with a service contract, billed per page, covering all parts, all labour and all call-outs. When something stops working, you call us and our team answers centrally from our Milton Keynes office.

Resolved on the call

Where an engineer is needed, we are contracted to be on site within four working hours, and because the phone diagnosis has already identified the fault, our engineers carry the parts and fix 99.6% of problems on that first visit.
