A managed print solution is an arrangement where your print provider takes ongoing responsibility for running your printers and photocopiers: the consumables, the maintenance, the monitoring and the billing, under one contract. You’ll also hear it called managed print services or print management services. The aim is simple: your business prints, and everything that keeps printing working happens without you having to think about it.

Software on your machines reports back to our Milton Keynes office, so we often know what your printers need before you do.

Your machines report their toner levels back to us. When a level drops to the point we know, from your print volumes, that it needs replacing, the replacement ships automatically. It arrives before the old one runs out.
Machines report problems back too, sometimes before anyone in your office has noticed them. That covers both preventative maintenance and repairs that are genuinely needed, so small issues get dealt with before they become downtime.
Your meter readings are collected remotely and your per-page billing is generated from them. Nobody walks round the office reading counters, and nobody transposes a number wrongly on a form.
If a machine drops offline, after a router change for example, we spot it through the billing feed and get it reconnected.

The monitoring, control and reporting side runs on established print management platforms rather than anything we’ve built ourselves, so you’re on software that’s proven across thousands of print fleets. Which one suits you depends on the machines you have, how many sites you print across, and how much control you want over who prints what. Because we’re truly independent, we’re not obliged to put every client on the same platform, so the recommendation follows your setup rather than ours.
Between them, these platforms handle the usage tracking and reporting behind your billing, secure release at the device, and the printing rules that keep costs down.
If your business runs print across more than one site, our managed print solutions work the same way at every one of them, under one contract, with one point of contact. Print is billed per page, and that covers all parts, all labour and all call-outs, wherever the machine sits.

Monitoring goes on as standard with every machine we install, so if we supply your printers, print management is simply how they arrive. For larger fleets, we start with a print audit measuring what you print and where, so the service is built around your actual usage rather than an estimate.

And behind the software sits the same in-house team as everything else we do: UK-based support centrally from our Milton Keynes office, with our printer support service handling anything the monitoring can’t fix on its own.
